The summer is a great time to host an event. The kids are off school so parents tend to be more relaxed about going out and curfew times, and the warm weather means there will be no chance of snow and little chance of rain getting in the way of your plans.
However, extreme heat can also be detrimental and, if you are planning months in advance, it can be difficult to tell exactly how hot it will be.
Well not to worry. Here are some ways to make sure you will be able to pull off your summer event no matter how hot it gets.
- Choosing the Venue: There are many things to consider in choosing the right venue for your event. It should be close by in terms of the location of your guests. It should also have wheelchair accessibility, plenty of parking and be equipped for your needs.
- If you are planning an event during the summer, there is even more to think about. If you are hosting your event outdoors, you may want to have a back up plan if the weather is extremely hot. Think of a second location or alternate date, just in case. Make sure your guests are aware of any possible plan B’s.
- If your event is indoors, make sure the venue is well air conditioned!
- Keeping Everyone Safe and Healthy: No matter where or when your event is being held, there is always the risk of your guests overheating. Therefore, you should have plenty of water on hand. You should also make plans for getting medical attention if any of your guests begin suffering from the heat.
- If your event is held outdoors, advise your guests to wear sunscreen and bring hats and sunglasses. You may also want to have your own sunscreen on hand for them to use just in case.
- Food: A summer party calls for light summer foods. Think of serving cold shrimp, vibrant salads and fruit and veggie trays. Because food can wilt in the heat, it is best to have somewhere to keep it refrigerated until it needs to be served.
- Decorations: Think of decorating using light, bright colors to enhance the summer experience. Tents should be used for outdoor events to provide shade to your guests while the sun is out.
- Entertainment: The summer is a great time to engage in physical activities like tug of war, scavenger hunts, trampolining and more. Adding musical entertainment is sure to give your event a full-on festival experience. Choose a band that can play a wide range of music including jazzy favorites that will get everyone on their feet.
